Proposed Payroll Process Change

PayrollA message from Susan Worrell, Chief Accountant, County of Albemarle (Aug. 31, 2016)

Finance Department Payroll Division is proposing a change to the payroll process in December, 2016.

Description of Change: The Finance Department Payroll Division and Human Resources propose processing one payroll run in the month of December 2016 and each December thereafter to be paid on the last business day of the month (for December 2016 this will be December 30) versus running two separate payrolls for School employees and County employees as has been the practice in the past.

Why Are We Making This Change: Currently in the month of December one payroll run is processed for School employees to be paid on the last working day of the month (before they go on holiday break) and another separate payroll run for County employees that is paid on the last business day of the month. Because the Schools payroll is paid earlier in the month, School employees must wait until the last business day of January to receive their next paycheck. In December 2016 that would mean School employees would be paid on December 16, 2016 then they would wait 6 ½ weeks until the next pay run on January 31, 2017. This proposed change would also create operational efficiencies. The processing time it takes to run two separate payrolls is doubled as well as it requires additional time to reconcile the entire payroll for December for benefits and deductions.
