Electronic Time and Attendance for Subs, Temps & Extra Work

Starting on Monday, October 10, you will be able to log in and out of our Kronos Time and Attendance System. All paid work will be processed through Kronos by the end of October.

I’m a Regular Part-Time or Regular Full-Time Employee. What do I need to know?

  • For your primary position, there is no change:
    • Non-exempt employees (like TAs) clock in and out in Kronos for their primary position.
    • Exempt employees (like teachers) do not clock in and out for their primary position.
  • For your extra work or second position:
    • All employees (including exempt teachers) clock in and out in Kronos for extra work/second positions.
    • When you clock in, select the Department/School (Labor Level 1) for where the extra work/second position is being completed.
    • Your timekeeper or supervisor of the second position will apply the correct Work Rule, which applies the correct pay rate to the time worked. Work Rules are listed on the Supplemental Pay Scale.
    • Your timekeeper or supervisor will also apply any account code changes, as needed.
    • This process change will be available on October 10. Please work with your timekeeper if you have any questions about when to start clocking in to Kronos for your extra work or second position.

I’m a Sub or Temp. What do I need to know?

  • Work with your timekeepers if you have any questions on how to log in to Kronos.
  • If you’re not familiar with the Kronos system, please watch one of our introductory training videos available on our Time and Attendance Documentation web page (newly relocated to the ACPS SharePoint intranet site).
  • If you work in one sub/temp position that is at one location and one rate, you will clock in and out of Kronos for all time worked.
  • If you work in multiple sub/temp positions or in a position at different locations or rates:
    • You will select the Department/School (Labor Level 1) for where the work is being completed when you clock in.
    • Your timekeeper or supervisor will apply the correct Work Rule, which applies the correct pay rate to the time worked.
    • Your timekeeper or supervisor will also apply any account code changes, as needed.
    • This process change will be available on October 10. Please work with your timekeeper if you have any questions about when to start clocking in to Kronos for your sub/temp position.

  • Training videos and documentation are available on our Time and Attendance Documentation web page (newly relocated to the ACPS SharePoint intranet site).
  • Please direct any initial questions to your timekeeper or supervisor.

I’m a Timekeeper or Supervisor. What do I need to know?

  • Read posts to the ACPS Timekeepers group that are emailed from the Time and Attendance team. Detailed information and the latest guidance will be posted to that site.
  • We will be hosting daily online office hours over the next couple of weeks to answer any questions. We will send out the online office hours schedule later today.
  • If you need additional guidance, please reach out to the HRIS Team at time@k12albemarle.org.

VRS Optional Life Insurance: Special Enrollment Opportunity Available NOW Through Nov. 30

If you are currently an active (full-time) member of the Virginia Retirement System (VRS), you now have a ONE-TIME opportunity to either newly enroll in or enhance your optional life insurance protection through VRS/Securian Financial without undergoing medical underwriting during a special enrollment window open NOW through November 30, 2022.
